What are vouchers and how do I use them?

Good to Know

Travel vouchers are essential documents containing all reservation details for your hotels, tours, and transportation, ensuring a seamless experience. These are typically dispatched 3-7 days prior to your arrival, allowing for final reconfirmation of all services. Upon receipt, a careful review is recommended, and while digital viewing is often accepted, printing provides a reliable backup due to potential internet intermittency in Costa Rica. Present your vouchers to each service provider to facilitate your journey.

One of the most common questions we receive following a reservation is how the voucher system works. Therefore we have compiled a list of the most popular questions and answers about this topic:

  • What is a voucher?
  • When will I receive my vouchers?
  • What do I need to do when I receive my vouchers?
  • Do I need to print my schedule and vouchers
  • How do I use my vouchers?
  • What do I do if I lose my vouchers?

What is a voucher?

A voucher is a document that contains all of the information about your reservation. This is used to provide the hotel, tour operator or transportation service all of the relevant information in one place to ensure everything runs smoothly on the day of service. We also provide a detailed up-to-the-minute schedule to use in conjunction with your vouchers.

When will I receive my vouchers and schedule?

The short answer is 3 - 7 days prior to your arrival date. The reason for this is our reservations system has a 4-point confirmation and reconfirmation system that relies on input from all of the providers in your itinerary. Most of the transportation and tour operators are not willing to submit a final reconfirmation of the pickup time until a few days before the service as the pick-up times can vary based on other travelers that may be going on the same tour or transfer. If the company has to pick up more travelers in other hotels, it will change the time of your pick-up. By waiting until a few days before you arrive, the odds of you having to wait unnecessarily for tours and transfers decrease.

What do I need to do when I receive my vouchers?

When you receive your vouchers and schedule, please carefully review them. Chances are very likely all will be perfect.

If you notice anything that you have questions or doubts about, please contact us immediately.

Do I need to print my schedule and vouchers?

No, you do not need to print your schedule and vouchers. Nearly all service providers will accept viewing your phone. Many will not even require to see anything. Some smaller or more remote service providers may ask for a printout, though this is very uncommon. If you do not have a printout, you can simply ask the provider to contact us and we will send them a copy of your voucher. One thing that is nice about printing your schedule and vouchers is internet signal can sometimes be intermittent in Costa Rica. If you print your info, you can simply reference your printouts without worry.

How do I use my vouchers and schedule?

When you arrive in Costa Rica, you will need to provide your first transportation voucher to your driver who will be waiting just outside of the exit at the airport. Following this, you will need to provide a voucher for each hotel, tour, and transfer/rental car.

When you are at your hotel, please review your schedule for the pick-up time of your upcoming event. It is always a good idea to go to the front desk approximately 5 minutes early and wait for the company to arrive. When they do, simply display your voucher.

Only one voucher is necessary per group unless arriving at different times.

What do I do if I lose my vouchers?

You should not delete the email we sent with the link for your vouchers. If you lose your vouchers, you can simply go back and open the link to re-print. Your vouchers can also be accessed from the itinerary you purchased. If you visit your itinerary, you will notice an orange banner that says, click here to view your schedule and vouchers.
